Personal Data We Collect From You

We may collect the following personal data about you:

  • personal information to establish your identity and background such as your full name, identity card or passport number, gender, race, religion, nationality, marital status, photographs and Facebook ID
  • contact information such as correspondence address, home address, telephone number, mobile phone number, email address, next of kin name, identity card number, contact number and relationship
  • information such as the name of your school/college, qualification and grade obtained
  • sensitive information such as your racial or ethnic origin, religion or other beliefs and health. We do not generally collect sensitive information unless it is necessary due to exceptional circumstances to serve you better and meet your particular needs
  • recording of your image via CCTV cameras installed at our premises
  • recording of your photograph during any of our college events or third party open day
  • resume or CVs when you apply for job with us

We may collect personal data either from you, from your authorized representatives, from third parties, or from publicly available sources which may include (but is not limited to):

  • when you register for our products/services (for example when you submit an application form to become our student)
  • when you contact us in person, by a phone call or over the counter (for example when you contact us for any enquiries, complaints, comments or feedbacks, we may keep record of that correspondences)
  • when you participate in any surveys, questionnaires, competitions, contests, offers, or promotions done internally or via an appointed third party
  • when you commence a business relationship with us (for example, as a service provider, or business partner)
  • when you visit any of premises (college and/or hostel)
  • when you attend any of our college events or third party open day

  • when you apply for a job with us
  • when you interact with us via social media or interactive applications including but not limited to Facebook, Twitter, and Instagram
  • when we collect information about you from third parties we deal with or are connected with you (recruitment agents, or financial institutions)

Use Of Personal Data Collected

You agree that we may use your personal data where permitted by applicable law and for the following purposes:

  • to manage and maintain your records with us
  • to notify you about benefits and changes to the services
  • to provide and improve our services to you including fulfilling audit requirements, billing for services, and facilitating payments

Depending on your relationship with us (e.g. as an applicant, student, alumnus, donor, vendor, service provider or other person relating to our College), the personal data which we collect from you may be collected, used and/or disclosed for the following purpose:

Student and Potential Student

  • assessing your application or continued provisioning of the products and services provided by the College
  • administering and managing your relationship as our student, including candidature matters, credit transfer application, scholarships, awards, fees, your achievements, your foundation/certificate/diploma/degree certification, industrial trainings with external organisations, programmes or courses run by the College
  • carrying out due diligence or other screening activities (including background checks) in accordance with legal or regulatory obligations or risk management procedures that may be required by law or put in place by the College, including the obtaining of references and/or other information from prior educational institutions
  • processing application(s) for hostel purpose, visa, scholarships and/or financial aid, and research support, and administering and managing scholarship/ financial aid/grant and other support programmes, which may include use of personal data for development and fund raising activities and disclosure of personal data to donors, grantors, external evaluators and/or external organisations for purposes of periodic reports, event invitations, surveys and/or publicity of the College’s related programmes
  • dealing with student activities such as festival celebrations, industrial visits, competitions, graduation ceremonies, orientations and other extra-curricular student activities (physical or online), conferences, student benefit activities which may be provided by the College or other organisations to enrich your life as a student with us, create networking opportunities for you, foster community spirit within the community, encourage holistic development of students both inside and outside the classroom and to assist you in planning and preparing for your life after graduation
  • processing and administering applications for any articulation programmes, overseas internships/job opportunities/student exchange programmes and other overseas activities and administering such programmes including disclosure of information to overseas colleges/universities, employing and training organisations

Alumni

  • maintaining a lifelong relationship with the College’s alumni
  • sharing with the alumni on latest College’s information
  • creating awareness and promoting alumni relations which includes facilitating and notifying information about events, activities of get-together, talks, career events, job vacancies, promotions, benefits and services available to alumni
  • researching for analysis purpose, and to conduct statistics on the profile of the College’s alumni for the purpose of the College’s policy making and planning;
  • facilitating any events which are organised by the College or any authorised third party in relations to the alumni
  • involving the College’s alumni to provide any professional or voluntary services to the College’s development and progress initiatives or projects as an act of gratitute to their alma mater

Employee and Potential Employee

  • evaluating your application to be an employee with us
  • complying with the requirements and operations of the general human resource
  • carrying out due diligence or other screening activities (including background checks) in accordance with legal or regulatory obligations or risk management procedures that may be required by law or put in place by the College, including the obtaining of references and/or other information from prior employment
  • administering and managing your relationship as our employee, including assignment or transfer to any authorised third party organisations
  • monitoring and assessing of your performance
  • dealing with and/or administering employment benefits and other employee welfare programmes and/or other related matters pertaining to the College’s Human Resource’s Policy

For general web browsing although no personal/private data is revealed to us, certain technical and statistical information is available to us via our internet service provider such as cookies, your IP address, the time, date and duration of your visit. If you provide us with any personal data relating to a third party (e.g. information of your spouse, children, parents, relative, friend, and/or employees), by submitting such personal data to us, you represent to us that you have obtained the consent of the third party to provide us with their personal data for the purposes as listed above.

How Long We Will Retain Your Personal Data

We will retain your personal data in compliance with this Policy and/or the terms and conditions of your agreement(s) with SENTRAL College Penang or its partners for the duration of your relationship with us, for such a period as may be necessary to protect the interests of SENTRAL College Penang or its partners and/or its customers as may be deemed necessary, where otherwise required by the law/government and/or regulatory bodies and/or where required by SENTRAL College Penang or its partner’s relevant policies. Your Personal Data shall be stored either in hard copies in our offices or stored in servers located remotely and operated by us or our service providers. No online facility is provided by SENTRAL College Penang for you to delete your Personal Data held by us.

Any Personal Data, which you volunteer to us, will be treated with the highest standards of security strictly in accordance with the PDPA Act 2010.
